Cancellation Policy:

Cancellation Timing and Fees:

Cancellation notice received within the number of days prior to departure will incur the following cancellation fees based on the Net Tour Price (per person):

  • India (excluding Andaman):
  • Andaman, Bhutan, and Nepal:
  • Asia (excluding India, Nepal, and Bhutan) & Japan, China, Korea, and Taiwan:
  • Europe, America, Canada, Australia, New Zealand, Africa, Japan, China, Korea, and Taiwan:
  • International Tours with Cruise, including Antarctica:

Please note that if airline tickets are booked or issued at a special fare, any additional cancellation charges imposed by the airline will be the responsibility of the guest.

A) Guest-Initiated Cancellations:

If a guest decides to cancel their tour for any reason, they must send an email to PlanMyTour at bookings@planmytour.biz from their registered email address. Cancellation charges will apply as per the fee structure mentioned above, based on the time between the cancellation date and the tour departure date. Charges may vary by tour, sector, or category. PlanMyTour is not obligated to provide a breakdown of cancellation charges. Refunds, if applicable, will be processed within 10 working days. Once a booking is canceled, it cannot be reinstated, and any reversal or re-booking will be considered a new booking with additional charges.

B) Single Guest Sharing a Room:

Single guests should ideally book specialty tours like Women's Special or Seniors Special, where PlanMyTour guarantees a room partner and avoids single occupancy charges. For regular tours, if a single guest travels alone, they will incur single occupancy charges. If a room partner is found and the guest shares a twin/double room for the entire tour, single occupancy charges will be refunded after the tour within 45 to 60 working days. No refund will be provided if the sharing partner cancels.

C) PlanMyTour-Initiated Cancellations:

PlanMyTour reserves the right to cancel or reschedule any tour without providing reasons. In such cases, the amount paid by the guest will be refunded within 10 working days. Refunds will be issued via A/C payee cheque in Indian rupees, even if the tour payment was made in foreign currency. PlanMyTour will not pay interest on the tour amount and is not responsible for additional expenses incurred by the guest due to other arrangements made independently. Guests can consult their sales representative to book another tour, and any excess or short payment for the new tour will be adjusted accordingly.

D) Cancellations Due to Force Majeure:

In force majeure situations (e.g., natural disasters, epidemics, terrorism), PlanMyTour may cancel or reschedule tours for tourist safety. No refund will be provided under these circumstances. Guests will be required to select a future date for the same tour, and PlanMyTour will request assistance from associates like airlines, hoteliers, and transporters for rescheduling. If a change in sector is required, it will depend on the cooperation of these associates and may take up to 45 to 60 days. If associates cannot accommodate the change, actual cancellation charges may apply. Excess amounts will be adjusted for future tours or upgrades, but no partial refunds will be given.

E) Rescheduling Due to Uncontrollable Factors:

PlanMyTour reserves the right to reschedule tours due to uncontrollable factors, such as airline schedule changes or major events. No refund will be applicable, and guests must adhere to the new schedule. PlanMyTour may adjust or upgrade tour itineraries, potentially increasing the tour price. Any additional expenses will be charged to the guest.

F) Visa Rejection—Deemed Cancellation:

Visa rejection will result in the cancellation of the booking, effective from the date of visa rejection. Cancellation charges will apply accordingly. Guests can reapply for a visa by paying additional fees, but PlanMyTour is not responsible for the visa grant. If a second visa application is rejected, cancellation charges will be based on the second visa rejection date. If no visa status is received, it will be deemed a cancellation, and charges will apply. For group bookings, if one member's visa is rejected, cancellation charges will apply to the entire group. Guests must verify visa details upon receipt; PlanMyTour is not liable for issues related to visa validity or entry/exit problems.

G) Non-Payment of Tour Price—Deemed Cancellation:

Full payment is required at the time of booking or 30 days before the tour departure. Failure to pay within this period will result in PlanMyTour canceling the booking without notice and forfeiting the paid amount. The cancellation date will be considered the payment due date, and cancellation charges will apply.

H) Right of Admission and Termination:

PlanMyTour reserves the right to refuse any booking without explanation. The company can terminate a guest's tour if they do not adhere to group decorum or behave inappropriately. The guest will be responsible for arranging their own return travel, and no refund will be provided.

I) No Show or Absence on Day 1:

Failure to join the tour on Day 1 will be considered a no-show, leading to a deemed cancellation with no refund. Cancellation charges will be 100%, and all services will be canceled unless the guest notifies PlanMyTour about joining the tour later at their own expense.

J) Discontinuation from the Ongoing Tour:

If a guest discontinues their tour for personal reasons, it is deemed a cancellation, and no refund will be given. PlanMyTour will assist in booking any necessary services, but all related expenses must be paid by the guest in advance.

K) Travel Insurance:

PlanMyTour's group tour prices include insurance for guests up to 59 years of age, valid for the tour duration. Guests over 59 must pay the difference in insurance premiums. For customized holidays, inbound holidays, and MICE tours, insurance is not included, and guests must purchase it separately. Insurance claims are subject to the insurance company's discretion, and PlanMyTour is not responsible for claim processing. Guests must notify both the insurance company and PlanMyTour within 24 hours of any incident. For personal travel insurance policies obtained separately, PlanMyTour is not liable for claims or communication with the insurance company.

Refunds:

PlanMyTour reserves the right to determine the refund amount based on various factors, including the number of guests and suppliers' cancellation policies. The company's decision on refunds is final and will be paid directly to the guest. Refunds will be processed via A/C payee cheque in Indian rupees, regardless of the currency in which the tour payment was made. Refunds are interest-free and may takes 45 to 60 days, depending on the season. If a valid visa was held or visa fees were directly paid by the guest, refunds will be processed within 45 working days upon submission of the visa copy.

No refunds will be provided for:

  • Full deposits are required in advance for reservation confirmation.
  • Modifications, cancellations, or non-utilization of tour services.
  • Cancellations due to government rule changes.
  • Bulk airfares for inclusive tours.
  • Tours were postponed indefinitely due to natural or political calamities.
  • Non-refundable air tickets for Indian and world tours.
  • Card payments: Refunds for card payments will be processed through the respective card's financial institutions, with transaction charges borne by the guest.

PlanMyTour reserves the right to:

  • Accept or cancel group and individual tour bookings without explanation.
  • Dismiss guests for misbehavior affecting the group or staff.
  • Withdraw discounts or change travel routes and hotel accommodations due to unavoidable circumstances.
