If you do not agree with any part of these terms, please do not use our site. Reading these terms carefully will help avoid any misunderstandings and ensure a hassle-free travel experience.

Terms and Conditions Overview

These Terms and Conditions govern all domestic and international tours, customized holidays, and corporate travel organized by PlanMyTour (a division of VistaVoyage Solutions (OPC) Private Limited).

In these Terms and Conditions, "PlanMyTour," "the Company," "we," "us," or "our" refers to VistaVoyage Solutions (OPC) Private Limited. "Guests," "them," "they," "You," or "Your" refers to users of our services.

Definitions

  • PlanMyTour: Refers to VistaVoyage Solutions (OPC) Private Limited, operating under the brand name ‘PlanMyTour.’ Both names are used interchangeably.
  • Guests: Individuals who have registered, inquired, or booked a tour by making a partial or full payment for any of our tours, customized packages, or travel-related services. This includes their heirs, executors, and administrators.
  • Tours: This includes both domestic and international tours organized by PlanMyTour.
  • FIT (Free Independent Travel) Refers to individual travel arrangements.
  • GIT (Group Inclusive Tour): Refers to travel arrangements for groups.
  • Customized Holiday: A tailor-made holiday with an itinerary designed according to individual preferences.
  • India Inbound: Tours intended for non-residents to explore India and the Indian Subcontinent.
  • Specialty Tours: Includes City Breaks, Family Specials, Pilgrimages, Senior's Specials, Solo, Honeymoon, Luxury Tours, and Cruises.
  • Corporate Tours (MICE): specialized group travel for meetings, incentives, conferences, exhibitions, seminars, and other events.
  • Tour Price: The cost of the tour as detailed in our brochures, website, or other communications, including applicable taxes and surcharges.
  • Day: refers to a 24-hour period or any part thereof, starting from the first destination on the first day and ending on the last day of the tour.
  • Force Majeure: events beyond our control, such as war, natural disasters, epidemics, and other unforeseen circumstances.
  • Extra Mattress/Bed: Additional bedding is provided as per the tour's requirements.
  • Brochure: Includes printed materials, website content, itineraries, and other promotional literature.
  • Website: www.planmytour.biz
  • Web Pages: Pages on the PlanMyTour website.
  • Jain Food: Meals prepared without onion and garlic, offered during tour group meals.
  • Meal Includes: Breakfast, lunch, dinner, and/or snacks as specified.
  • Tour Manager/Leader/Escort/Assistant: The person designated by the Company to assist and guide guests during their tours.
  • Gender: References to masculine include feminine and vice versa; singular includes plural and vice versa.
  • Jurisdiction: Exclusive authority of Mumbai courts and forums in case of legal disputes.

Additional Information

  • Visa: A certificate or stamp issued by immigration authorities granting temporary entry to a country. We only facilitate the visa process and do not influence visa issuance or denial.
  • Cancellation Policy: This policy includes all charges related to cancellations by the company or third parties.
  • Visa Cancellation Policy: Covers charges related to visa issues.
  • Surcharge: Additional fees applied during peak seasons or due to changes by contractors or suppliers.
  • Super Peak Season: Includes major holidays such as summer vacations, Diwali, Christmas, New Year, or other advertised peak periods.
  • Credit Note/Future Tour Voucher: A voucher for future bookings issued in case of tour postponement or cancellation.
  • Tour Transfer Charges (TTC): Potential charges for rescheduling a tour due to unforeseen circumstances.

Booking Criteria

When booking a tour with PlanMyTour, the following criteria apply:

  1. Registration and Acceptance:

    • Payment of the registration amount indicates your interest in the tour and confirms that you have reviewed and accepted all terms and conditions outlined in our brochure, website, or booking form.
    • If booking on behalf of others, it is assumed you have their authorization and they are aware of all terms and conditions.
    • A contract between you and PlanMyTour is established once your booking is confirmed and accepted by us.
  2. Documents Required for Booking:

    • Domestic Tours: A valid photo ID is necessary.
    • International Tours: A valid passport and a PAN card are mandatory according to RBI regulations.
    • If you do not possess these documents at the time of booking, a provisional booking may be made. This will be confirmed only after submission of the required documents.
  3. Online Booking:

    • To book online, visit our website at PlanMyTour.
    • Your booking request will be reviewed to confirm prices and availability. We commit to providing the tour only once we have confirmed these details, and you have made full payment and met all relevant terms and conditions.
    • Any communication prior to our confirmation does not constitute acceptance of your booking request.
    • All online bookings are subject to availability and the discretion of PlanMyTour and its suppliers. Ensure that all provided information is accurate. Incorrect contact details may lead to the cancellation of your booking at your risk and expense.
  4. Customized Holidays:

    • After your travel advisor confirms your customized holiday booking, you will receive a confirmation via email and SMS.
    • For additional information, contact us between 10:00 am and 8:00 pm, six days a week.
    • Vouchers will be sent 72 hours before your departure date, provided full payment has been made.
  5. Health:

    • Booking a tour implies that you are in good health and fit to travel.
    • You are responsible for maintaining your health throughout the tour.
    • If you have any medical conditions that could impact your tour experience, you must inform PlanMyTour in writing.
    • We reserve the right to refuse or discontinue your participation in the tour if deemed necessary. Any health-related issues or costs incurred during the tour are your responsibility.
    • PlanMyTour may request a medical certificate or test before departure or during the tour. If you cannot provide the required documentation, we may refuse your participation.
    • Be aware that airlines and other service providers might refuse service on medical grounds. Ensure you are familiar with their rules and regulations, as we are not responsible for any consequences arising from them.
    • Consider purchasing travel insurance to cover potential cancellations or hospitalizations. Please review our insurance section for more details.

Change in Itinerary Policy

PlanMyTour, a division of VistaVoyage Solutions (OPC) Private Limited, reserves the right to alter the itinerary at any time before or after a guest books a tour. Here’s an overview of our policy regarding changes:

Key Points of the Policy:

  1. Right to Change:

    • PlanMyTour may modify the itinerary due to factors such as availability of airlines, hotels, and transport.
  2. Force Majeure:

    • Changes may occur due to unforeseen events like strikes, festivals, weather conditions, or overbookings. Any additional costs resulting from these changes will be the guest’s responsibility.
  3. Notification:

    • We will notify guests of significant changes if we are informed in advance.
  4. Sightseeing Adjustments:

    • We may alter sightseeing stops or routes due to traffic or other issues. If additional activities or changes are needed, any extra costs will be borne by the guests.
  5. Alternative Sightseeing:

    • If a scheduled sightseeing activity is not possible, we will attempt to arrange an alternative. Refunds, if applicable, will be issued only in INR. Adventure activities are subject to weather conditions; refunds for weather-related cancellations will be provided if applicable.
  6. Cruise Changes:

    • For tours including cruises, the ship may be changed for operational reasons beyond our control, potentially affecting the itinerary.
  7. Airline and Group Adjustments:

    • Entry and exit points may change based on airline requirements. We may operate multiple coaches or combine groups, leading to possible changes in tour direction or itinerary.
  8. Participant Impact:

    • Actions or delays of tour participants can impact the itinerary.
  9. Refunds and Compensation:

    • We strive to maintain the tour package as planned but are not liable for refunds or compensation due to itinerary changes. Additional charges may apply if alternate arrangements are superior to those initially described.
  10. Departure Changes:

    • We may change the departure date or cancel a tour due to unforeseen reasons. We are not responsible for any advance ticket purchases for domestic or international travel.
  11. Punctuality:

    • Guests are responsible for being on time. Missed parts of the tour due to personal delays will not be eligible for refunds.

Coach, Baggage, and Airline Policy

Coach:

  1. Seating Arrangements:

    • Seats are assigned based on the booking date, with early bookers getting priority. Seat numbers provided at booking are indicative and subject to change. No claims for specific seats will be accepted.
  2. Prime Seats:

    • Seats 3 and 4 are reserved for Prime Seat bookings at an additional cost. If a paid Prime Seat is unavailable, we will refund only the seat payment.
  3. Coach Conditions:

    • We are not responsible for defects in the coach, air conditioning, or the behavior of the driver or attendant. Adherence to the schedule is required to avoid missed sightseeing opportunities.
  4. Policies:

    • Smoking, alcohol, and eating are not allowed on the coach. Valuables should not be left on the coach; we are not responsible for losses or damages.
  5. World Tours Coaches:

    • We provide luxury, air-conditioned coaches. In some cases, coasters or small vehicles may be used. Some coaches may have an emergency washroom, which is not a substitute for restrooms. A tip may be required for using this facility.
  6. Indian Tours Coaches:

    • We use a range of vehicles, including air-conditioned coaches, tempo travelers, and jeeps, depending on the tour type and number of guests.

Baggage:

  1. Responsibility:

    • You are responsible for your own baggage, including valuables and documents. The tour manager is not liable for lost or damaged items. Secure valuables using hotel safes or declare them to airlines.
  2. Documents:

    • You must manage your own travel documents. Loss of documents may result in tour curtailment at your expense. File complaints with authorities if your baggage is lost.

Airline:

  1. Flight Inclusion:

    • Flights are included as specified in the itinerary. Guests accept airline terms and conditions by booking.
  2. Ticketing:

    • Electronic tickets may not be issued in advance. Ensure names match passports to avoid additional fees for name changes.
  3. Reservations:

    • Full airfare payment is required at booking. Prices are final once paid, despite future fluctuations.
  4. Baggage Restrictions:

    • Airlines typically allow 2 bags per person. Additional charges apply for excess baggage with low-cost carriers. Check each airline’s current baggage policy as these can change frequently.
  5. Seating:

    • Seats are not always pre-assigned and may incur extra charges. For seat preferences, contact airlines directly.
  6. Availability and Changes:

    • Airlines control schedules and seating. PlanMyTour is not responsible for flight delays or changes.

Special Requests:

  1. Airline Requests:
    • Special seat and meal requests may not always be granted. Frequent flyer miles must be claimed directly from the airline; PlanMyTour is not responsible for this.

PlanMyTour’s Liability:

  1. General Liability:

    • We coordinate with various service providers to ensure comfort but are not liable for issues caused by independent vendors or transport modes.
  2. No Liability for Airline Issues:

    • We are not responsible for lost baggage, meal issues, seat overbooking, flight delays, or schedule changes by airlines.

Additional Charges:

  1. Airline and Visa Fees:

    • Any increases in airfare, visa fees, or taxes must be paid by you. Changes in visa requirements or additional visas are your responsibility.
  2. Airport Taxes:

    • Any rise in airport taxes or development fees post-ticket issuance will be added to the tour price. Name change fees and airline penalties are the guest’s responsibility.

Tour Documentation and Policy Summary

1. Travel Documents

  • Responsibility: Guests are required to have valid travel documents, including passports, visas, confirmed air tickets, and insurance.
  • Passports: For international travel, passports must be machine-readable, valid for at least 180 days beyond the return date of the tour, and have sufficient blank pages. Handwritten passports are not accepted.
  • Visa Requirements: Guests must obtain the necessary visas. PlanMyTour assists with preparing and submitting visa applications but is not responsible for visa issuance decisions or any errors made by consulates.

2. Visa Processing

  • Facilitation: PlanMyTour helps with visa applications but cannot control or guarantee visa approval. Processing times may vary, and PlanMyTour is not liable for any delays or refusals.
  • Existing Visas: If a visa's validity exceeds the passport validity, both old and new passports must be carried. Transferring old visas to new passports may be required.

3. Travel Insurance

  • Requirement: Comprehensive travel insurance is mandatory. It covers cancellation, medical expenses, repatriation, and more. For international tours, insurance is included for guests up to 59 years old; additional coverage can be arranged for older guests.
  • Exclusions: Pre-existing conditions and adventure sports are not covered. Guests are responsible for arranging transportation and expenses in case of death. PlanMyTour is not involved in insurance claims or disputes.

4. Photo Identification

  • Requirements: Guests must carry photo ID such as a driving license, election ID, PAN card, or student ID. This ID must match the one submitted to PlanMyTour and may be necessary for certain activities.

5. Documents for Foreign Nationals

  • Special Requirements: Foreign nationals and NRIs may have different visa fees and documentation requirements. Additional charges may apply.

6. Communication

  • Information Delivery: Tour details will be sent via SMS and email. Delivery is subject to network conditions. PlanMyTour is not responsible for any issues with message delivery.

7. Immigration

  • Discretion: While a visa grants entry, the final discretion for access is determined by immigration authorities. Guests may experience delays or deportation, with all associated costs borne by the guest. PlanMyTour is not liable for such situations or related expenses.

Hotels & Meals Policy Summary

Hotels

  1. Meal Arrangements:

    • Menu: Meals typically follow a pre-set menu based on the tour program, with a focus on vegetarian options and a few non-vegetarian choices.
    • Special Meals: Special dietary needs or specific meal requests are accommodated only if made at the time of booking. Special requests, including allergies, are considered on a request basis and are not guaranteed. For customized dietary needs, a tailor-made tour is recommended.
    • Baby Meals: Usually consist of tin milk, plain dal, and rice. Other dietary needs for infants must be arranged at the guest's expense.
    • Meal Claims: No claims or compensation for missed meals due to delays or personal reasons.
  2. Restaurant Quality:

    • Selection: While efforts are made to select quality restaurants, we do not control their maintenance or service. Table allocation is managed by the restaurant based on group size and infrastructure.
  3. Hotel Selection:

    • Comfort and Value: Hotels are selected for comfort and value, which may mean they are not always centrally located. If a booked hotel is unavailable, a similar standard alternative will be provided.
    • Liability: No liability is accepted for variations in hotel quality or location.
  4. Facilities:

    • Extras: Charges for mini bar, alcoholic beverages, laundry, and other extras are not included in the tour price and must be paid directly to the hotel. WiFi availability can vary and may incur additional charges.
    • Security Deposits: International hotels may require a security deposit, which is refundable at check-out according to the hotel’s policy.
  5. Room Sharing:

    • Single Travelers: May be paired with a room partner of the same gender. Issues between partners must be resolved independently. If a partner cancels, the remaining guest bears the full room charge. Shared rooms have a 'No Smoking' policy.
  6. Check-in/Check-out Times:

    • Times: Check-in is generally at 12 noon (Indian tours) or 3 p.m. (World tours), and check-out is at 10 a.m. or 12 noon, respectively. Early check-ins or late check-outs must be arranged directly with the hotel and may incur additional charges.
  7. Accommodation for Children:

    • Children Under 12: Booked at a special rate without a bed will not be provided with a bed. Changes to rooming arrangements during the tour may incur additional charges.

Meals

  1. Meal Types:

    • Menu: Meals mostly follow a pre-set menu with vegetarian and limited non-vegetarian options. Packed meals may be provided at some locations.
  2. Meal Claims:

    • No Claims: No compensation or claims for missed meals due to personal reasons.
  3. Special Meal Requests:

    • Booking: Must be specified at the time of booking. Not guaranteed and should be considered for customized tours.
  4. Baby Meals:

    • Basic Options: Basic options are provided; other needs must be arranged independently at personal expense.
  5. Refunds:

    • No Refunds: No refunds for unavailable items or changes to meal arrangements.

Cruises

  1. Cabins:
    • Occupancy: Prices are based on double occupancy. Single cabins are available at an additional cost. Discounts apply only to the base fare; additional charges may apply based on departure date, ship, and cabin level.

    • Non-Refundable: The registration fee is non-refundable and interest-free.

    • Air-Inclusive Bookings: Additional non-refundable deposits may be required.
    • Bookings Close to Departure: For bookings made 45 days or less before departure, full payment is required; registration alone is insufficient.
    • Dishonored Cheques: A β‚Ή500 + 18% GST fee applies for dishonored cheques.

Credit Card EMI:

EMI Payments:

  • Availability: Selected bank Credit Cardholders can pay in EMI with instant approval.
  • No Fees: No documentation or processing fee required.

Discounts:

Early Booking Discounts:

  • Subject to Availability: Discounts are available only if full payment is received by the specified date.
  • Withdrawal: Discounts can be withdrawn or altered without prior notice.

Non-Payment Consequences:

Booking Cancellation:

  • Deadline: Failure to pay the full tour price 45 days before departure may result in booking cancellation and forfeiture of paid amounts.

Foreign Exchange Payments:

Currency Requirements:

  • Local Currency: Payments for the foreign exchange component must be made in the local currency at the prevailing rate.
  • Card Payments: Payments using a card must be made by the cardholder traveling or an immediate family member.

Transfer Cancellation & Refund Policy Summary

  1. Foreign Exchange Component:
    • Adjustment: The foreign exchange component is adjusted based on the exchange rate on the final payment day.
    • Initial Deposits: Deposits for international tours made in INR will be adjusted against the foreign exchange component upon final payment.

Transfer of Tour:

  1. Guest-Initiated Transfer:

    • Change of Tour: Changing from the originally booked tour to a new one is treated as a cancellation of the original tour. A new booking is required, and applicable cancellation charges will be based on the net tour price of the original tour. Discounts for the new tour will be based on the rates applicable on the day of the new booking. For transfers to the same tour, only actual air ticket cancellation charges will apply, and new discounts will be provided.
  2. Transfer by PlanMyTour:

    • Minimum Guest Requirement: PlanMyTour may cancel or amend group tours if the minimum number of guests is not met. In such cases, guests will receive a refund of the amount paid minus taxes, but no interest or additional costs. Notifications will be sent via SMS, phone, or email.
    • Honeymoon Tours: If a specialty honeymoon tour does not meet the minimum guest requirement, it may be merged with a family tour. Guests will benefit from both the honeymoon and group tour pricing. Guests who prefer not to join the merged tour will be offered a FIT option.
    • Bus Seats: Bus seats are auto-generated based on the booking date and time. Manual adjustments are not possible.
  3. Guest-Initiated Changes:

    • Change Requests: Requests for changes or amendments must be submitted in writing and are subject to availability. Changes are treated as new bookings. If changes are requested after the cancellation period, cancellation charges will apply as if the booking was canceled on the amendment date.

Cancellation Policy:

  1. Cancellation Fees:

    • Application: Fees depend on the tour and destination and are applied to the net tour price. Fees vary based on the timing of the cancellation relative to the departure date.
  2. Cancellation by Guest:

    • Procedure: Cancellations must be emailed to PlanMyTour. Refunds are processed within 45 to 60 days. Re-booking after cancellation is considered a new booking.
    • Single Guests: Single guests should book specialty tours with guaranteed room partners. If a single guest cancels, they may receive a refund if they find a room partner. No refund is provided if the partner cancels.
  3. Cancellation by PlanMyTour:

    • Refunds: If PlanMyTour cancels a tour, the amount paid will be refunded within 10 working days. Refunds for international tours will be in Indian rupees, even if payment was made in a foreign currency.
  4. Force Majeure Situations:

    • No Refunds: No refunds are provided for natural calamities, epidemics, or other force majeure situations. Guests may choose a future tour date, subject to availability.
  5. Uncontrollable Factors:

    • No Refunds: No refunds for changes due to airline schedule changes or VIP movements. PlanMyTour may modify itineraries, and additional charges may apply.
  6. Visa Rejection:

    • Cancellation Charges: A visa rejection leads to cancellation, with charges based on the date of rejection. Reapplication for visas is at the guest’s risk.
  7. Non-Payment:

    • Deemed Cancellation: Failure to pay the full tour price as required will lead to deemed cancellation and forfeiture of paid amounts.
  8. Right of Admission and Termination:

    • Refusal or Termination: PlanMyTour reserves the right to refuse bookings or terminate tours due to guest misbehavior. No refunds are provided in these cases.
  9. No Show:

    • Cancellation Charge: Missing the tour on Day 1 is considered a no-show, with a 100% cancellation charge applied.
  10. Discontinuation:

    • Early Departure: Leaving a tour early is considered a cancellation, with no refund provided.
  11. Travel Insurance:

    • Coverage: Insurance is included for guests up to 59 years old on regular tours. Guests over 59 must pay an additional premium. Customized tours do not include insurance; guests must purchase it separately.

Refund Process:

  1. Processing Time:

    • Typical: Refunds are processed as per the cancellation terms, typically within 45 to 60 days. If a valid visa is held or visa fees are paid directly, refunds may be processed within 45 working days.
    • Method: Refunds are issued via A/C payee checks in Indian rupees, irrespective of the original payment currency.
  2. No Refunds Applicable:

    • No Refunds: No refunds for advance deposits, modifications, non-utilized services, or cancellations due to government rule changes or unforeseen events. Card payments will be refunded to the original card, with transaction fees borne by the guest.

Company Rights:

  1. Reservation Rights:
    • Cancellation and Changes: PlanMyTour reserves the right to cancel bookings, refuse admission, or terminate tours. Discounts may be withdrawn, and tour details can be changed due to unavoidable circumstances.

Free Experiences

  • Availability: Free experiences are included only on selected tours. Information will be provided at booking. Some guests might incur additional costs for these experiences, and PlanMyTour reserves the right to cancel or alter them if guest numbers are insufficient.

Money to Carry

  • Personal Expenses: Guests should carry sufficient funds for personal expenses and emergencies not covered by the tour. This includes extra meals, sightseeing, personal spending, and unforeseen emergencies.

Tour Participation

  1. Children and Minors:

    • Accompanied Travel: Children under 18 must be accompanied by an adult. For international travel, a notarized consent letter may be required if a minor is not traveling with both parents. PlanMyTour is not liable for issues arising from inadequate documentation.
  2. Special Needs:

    • Notification: Guests with special needs or disabilities should inform PlanMyTour at booking. Reasonable adjustments will be made unless they fundamentally alter the service provided. Guests must be medically and physically fit to travel. PlanMyTour may exclude individuals if their participation poses a safety risk. No refunds will be given in such cases.
  3. Medical Care:

    • Responsibility: PlanMyTour does not provide medical personnel. Guests are responsible for seeking medical care locally and should have travel insurance to cover medical emergencies abroad.
  4. Physical Fitness:

    • Activity Levels: Tours may involve challenging terrains and activities. Guests should ensure their fitness level and consult their medical advisor if needed. PlanMyTour may not guarantee disability access and can decline or remove guests who do not comply with their terms. Guests are responsible for their return travel costs in such cases, and no refunds will be provided.

Special Assistance

  • Group Tours: Individual special services are not typically available. However, if notified at booking, PlanMyTour will make reasonable efforts to accommodate disabled guests or senior citizens.
